Why Is My Work Computer So Slow?
The real reasons a work PC or Mac crawls — from full drives to background bloat — and how to tell a five-minute fix from a genuine upgrade.
A slow work computer is one where the hardware or software can no longer keep up with what you’re asking it to do — so everything you do waits on it, rather than the other way round. Apps take an age to open, the spinning cursor becomes a familiar sight, and a job that should take a minute swallows five. It’s one of the most common complaints we hear, and the good news is that “slow” usually has a specific, findable cause. Often it’s fixable in minutes. Sometimes it means the machine is due an upgrade. This guide helps you tell which is which.
What “slow” usually turns out to be
There’s rarely one villain. A sluggish computer is normally a few small things stacked on top of each other. These are the usual suspects, roughly in order of how often we see them.
A full or dying hard drive. A traditional spinning hard drive (HDD) is the single biggest reason older machines feel slow. They’re mechanical, and once one starts to age or fill up, everything grinds. If your computer still has an HDD rather than a solid-state drive, that’s almost certainly your main problem — more on the fix below.
Too little memory (RAM). RAM is the working space your computer uses for everything open right now. Run out of it — twenty browser tabs, Teams, Outlook and a spreadsheet all at once — and the machine starts shuffling data on and off the disk to cope, which is slow and gets slower.
Too much running in the background. Over months, software quietly stacks up: apps that launch at startup, sync tools, browser extensions, half-finished updates. Each takes a small bite. Together they can leave little for the work you actually opened the computer to do.
A drive that’s nearly full. Both Windows and macOS need free space to breathe. Once a drive creeps past roughly 85–90% full, performance can drop off a cliff. Old downloads, duplicate files and forgotten video calls add up faster than you’d think.
Malware or a compromised machine. Less common, but real. Something running without your knowledge can chew through processing power and slow everything down. A sudden slowdown with pop-ups or odd behaviour is worth taking seriously rather than tolerating.
An operating system or app that has outgrown the hardware. Software gets heavier with each version. A machine that flew five years ago may simply be under-powered for today’s Windows, macOS and the apps your business now runs.
Quick things to try first
Before spending anything, work through the free fixes. Plenty of “slow” computers come right back to life with these alone.
- Restart it properly. Not sleep — a full shut down and power on. Machines left running for weeks accumulate clutter in memory. A restart clears it, and it’s astonishing how often that’s the whole fix.
- Trim what starts automatically. Turn off apps you don’t need the moment you log in. On Windows this lives in Task Manager’s Startup tab; on a Mac, in Login Items. Fewer things launching at boot means a faster, calmer start.
- Free up disk space. Empty the recycle bin or trash, clear old downloads, and move large files you rarely touch to cloud storage. Aim to keep at least 15% of the drive free.
- Close the tab hoard. Thirty open browser tabs each use memory. Close what you’re not reading. If you need to keep them, use a proper bookmarking or reading-list tool instead.
- Install pending updates — then reboot. A machine stuck part-way through updates often drags until it’s allowed to finish. Let it complete out of hours.
- Run a security scan. Rule out malware with a full scan. If anything turns up and won’t clean up cleanly, stop and get professional virus removal rather than fighting it yourself.
If none of that shifts it, the problem is more likely hardware than housekeeping — and that’s usually a good-news story, because it’s often cheaply fixed.
When it’s time to upgrade, not replace
Here’s the part people get wrong: a slow computer rarely needs replacing. Two affordable upgrades solve the vast majority of speed complaints on machines that are otherwise perfectly capable.
Fit an SSD. If your computer still runs a mechanical hard drive, swapping it for a solid-state drive is the best-value upgrade in computing. Boot times drop from minutes to seconds, apps open instantly, and a five-year-old machine can feel new again. For most businesses this is the first thing worth doing — an SSD upgrade typically costs a fraction of a new machine and delivers a bigger day-to-day difference.
Add more RAM. If the machine already has an SSD but still stutters when you’ve got a lot on the go, more memory is usually the answer. A RAM upgrade lets it hold more open at once without falling back on the slow disk, which matters if your team lives in browsers, video calls and big spreadsheets all day.
The honest exception: there’s a point where a machine is old enough that pouring money into it stops making sense — parts are hard to get, the processor is genuinely past it, or the cost of upgrades approaches the price of something new. A machine roughly eight years or older often falls here — at that point a new device, set up and secured properly as part of your wider managed IT support, is the sensible spend.

My computer is slow only in the mornings — why?
That's usually startup and update behaviour, not the hardware. When a machine wakes up it runs security scans, syncs cloud files, installs pending updates and launches every app set to open at login — all at once. Give it ten minutes before judging it, and trim the list of apps that launch at startup. If it's still crawling mid-afternoon, the cause is something else.
Will more RAM or an SSD make the biggest difference?
On an older machine still running a hard drive, fitting an SSD is almost always the single biggest speed jump you can buy — often the difference between painful and pleasant. More RAM helps if you routinely run lots of apps or browser tabs at once and the machine is swapping to disk. Is a slow computer ever a sign of something more serious?
Sometimes. A sudden, dramatic slowdown — especially with pop-ups, an overheating fan, or files behaving oddly — can point to malware or a failing drive rather than ordinary ageing.
