Why Your Office Wi-Fi Is Slow (and How to Fix It)

The real reasons office Wi-Fi drags — from thick Victorian walls to overloaded routers — and a practical checklist to make it fast and reliable again.

It’s 9:15 on a Monday. Your team’s trickling in, everyone opens their laptop, Teams calls start, the cloud accounting software loads, someone kicks off a big file upload — and the Wi-Fi grinds to a crawl. Pages hang. A video call freezes mid-sentence. By mid-morning someone’s plugged into an ethernet cable in frustration, and you’re wondering whether you need to pay for faster broadband.

We hear this constantly from businesses across Streatham, Croydon and Surrey, and here’s the honest part: faster broadband usually isn’t the answer. In most offices the line coming in is fine. The bottleneck is the Wi-Fi inside the building — and once you understand what’s actually slowing it down, the fixes are often straightforward and not especially expensive.

First, prove where the problem is

Before spending a penny, find out whether it’s your broadband line or your internal network. Plug a laptop directly into your router with a cable and run a speed test. Then run the same test on Wi-Fi in the spot where people complain.

If the wired test hits roughly the speed you pay for but the wireless test is a fraction of it, your line is healthy and the problem is inside your office. That’s the common case — and it’s good news, because internal Wi-Fi is something you can control.

The usual culprits

One router trying to do everything

Most small offices run on a single router from the broadband provider, often tucked in a corner by the front door where the line comes in. That box was designed for a home, not a working office. Push a dozen-plus busy devices through it, spread across several rooms, and it simply runs out of capacity. Everything slows for everyone.

Old kit and old standards

Wi-Fi has moved on a lot. If your router or access points are more than four or five years old, they’re likely using an older, slower standard and struggling to keep up with modern laptops and video calls. Ageing hardware is one of the most common reasons a network that “used to be fine” now drags.

Thick walls and awkward layouts

South London and Surrey are full of lovely old buildings — Victorian conversions, solid brick, the odd bit of foil-backed insulation. Wi-Fi hates all of it. A signal that’s strong at the router can be feeble two rooms away. If your team sits far from wherever the router lives, distance and walls alone can explain the slowdown.

Interference and channel congestion

In a terrace or a shared building, your Wi-Fi is competing with everyone else’s. Neighbouring networks, microwaves, cordless phones and even Bluetooth gear all crowd the airwaves. If your access points are all shouting on the same crowded channel, throughput drops for everybody.

Too many devices, quietly multiplying

Count what’s really on your network. Laptops and phones, yes — but also wireless printers, card readers, cameras, smart speakers, the odd personal phone hopping on the guest password. Each one takes a slice of capacity. Offices almost always have far more connected devices than anyone guesses.

A network that grew by accident

Plenty of office networks were never designed — they accreted. A range extender bought in a panic, a second router bolted on when the team grew, cables run under desks over a weekend. Each addition made sense at the time, but the result is a patchwork that fights itself. This is where a proper network setup earns its keep.

A practical checklist to fix it

Work through these roughly in order — the early ones are quick wins:

  1. Test wired vs wireless. Confirm the problem is Wi-Fi, not the line, before buying anything.
  2. Reboot and update. Restart the router and access points, and check they’re running the latest firmware. It’s dull, and it genuinely fixes a surprising amount.
  3. Move the router. Get it out of the corner cupboard and somewhere central and open. Height and open space help more than people expect.
  4. Count your devices. Remove or move anything that doesn’t need to be on the main network. Put phones and visitors on a separate guest network so they’re not eating business bandwidth.
  5. Check for interference. If everything’s crammed onto one channel, changing it — or letting proper business kit manage channels automatically — can lift speeds straight away.
  6. Cable the things that don’t move. Desktops, printers and especially any point that feeds an access point are far better on ethernet. Wired connections don’t compete for the airwaves.
  7. Replace ageing kit. If your gear is years old, no amount of tweaking beats hardware that can actually handle a modern office.
  8. Design it properly. For anything beyond a small team, swap the single router for two or three business-grade access points placed to cover where people actually sit. That’s the step that turns “usable” into “genuinely fast everywhere.”

Should I upgrade my broadband or my Wi-Fi first?

Usually the Wi-Fi. Most "slow internet" complaints in an office are really weak Wi-Fi coverage, an ageing router or too many devices on one access point — not the line speed. Run a wired speed test first: if a cabled computer hits the speed you pay for but wireless devices crawl, the line is fine and the problem is your internal network. Only look at a faster broadband package once the Wi-Fi itself is sound.

How many devices can one office Wi-Fi access point handle?

It depends on the access point and what everyone's doing, but a single consumer router struggles once you get much past a dozen active devices — and modern offices quietly run far more than staff realise once you count laptops, phones, printers, card readers and smart devices. Business-grade access points handle many more connections at once, which is why a proper setup with two or three of them usually beats one powerful-looking router.

Does a mesh system fix a slow office?

Sometimes, for a small open-plan space. But mesh kit sold for homes can be a false economy in an office with thick walls or more than a handful of staff, because each hop back to the router costs speed. For anything beyond a small team, wired access points on a proper network almost always give faster, steadier results.
