IT Support for Funeral Directors
IT for independent funeral directors — the on-call phone, your funeral-management records and chapel AV kept working when the date cannot move.
The call at three in the morning
A death does not wait for office hours. When a hospital, a nursing home or a family rings at three in the morning, that call has to reach a person — not voicemail, not an engaged tone, and not a diverted number that rings out because the on-call rota changed last week and nobody edited the phone system. Every conversation that follows depends on it. It is also the one part of your work where a technical excuse is unthinkable.
What an independent firm actually runs on
There is more technology behind an arrangement than most families would ever imagine.
- Funeral-management software — Eulogica, Oak Technology’s suite, I-Ceremony or Funeral Manager, holding deceased records, next-of-kin details, service orders, disbursements and invoicing
- Paperwork that moves between organisations — medical examiner and coroner forms, registrar appointments, cremation applications, crematorium and burial slot bookings, all running to somebody else’s deadline
- The on-call phone — routing, out-of-hours diversion, and a record of who took which call
- Chapel and crematorium AV — order-of-service design and printing, music playback, and webcast streaming for relatives who are abroad or too unwell to travel
- The network under your premises systems — mortuary fridge temperature alarms, CCTV and door entry all need power and a connection that hold overnight, and that is the part we look after (the alarm, camera and door hardware itself stays with the supplier who fitted it)
Failures nobody can reschedule
Most businesses can absorb a bad day and catch up. A funeral cannot be moved. The order of service prints the evening before or it does not exist. The webcast either carries the service or a daughter in Perth misses her father’s funeral, and there is no second attempt. If a screen freezes in the arrangement room while a family sits waiting, the awkwardness lands on your arranger, not on a supplier. And if a burst pipe, a fire or a break-in hits one set of premises, the records for every funeral in progress have to survive it. That is why tested backups and a written continuity plan matter more here than the size of the firm suggests.
Dignity applies to the data too
The records you hold are unusually sensitive — cause of death, family arrangements that are not always harmonious, financial details, pre-paid plan histories. Living relatives’ data falls under UK GDPR, so access control, encrypted laptops and screens that lock in a shared office are not paperwork exercises. Only the people who need a record should be able to open it, and you should be able to say who opened what.
What we put in place
We set up call routing that follows your rota, including a path that survives a broadband fault, using a hosted phone system. We back records up to a second location so no single building holds the only copy, and we test restores rather than trusting a green tick. We keep workstations patched, accounts controlled and the chapel network stable through ongoing managed IT support, and we plan for the bad day properly with disaster recovery so a flooded office does not become a cancelled week.
Working with a firm of this shape
Independent funeral directors are often one small office covering two or three premises, with a handful of staff and a rota that never really stops. Day to day we work remotely, so a printer that will not talk to the design PC or an account that will not sign in gets fixed while you are with a family. When something needs hands on it, our team — frequently delivered with our sister company PC Macgicians — comes out across South London, Croydon and Surrey. We would rather tell you plainly what can wait until Tuesday and what cannot, because in your trade that distinction is the whole job.
Frequently asked questions
Our out-of-hours calls divert to whoever is on the rota. Can that be made more reliable?
Yes. A hosted phone system lets you set who rings first, who picks up if that person does not answer within a few rings, and a different pattern for nights, weekends and bank holidays. Calls can land on a mobile app as well as a handset, so a change to the rota is a two-minute edit rather than a call to a provider. We also make sure there is a route that still works if your broadband is down.
Do you support funeral-management software such as Eulogica, Oak Technology or I-Ceremony?
We look after everything around it — the server or hosted connection, the database backups, the workstations and printers, and who has access to which records. If the fault sits inside the application itself, we raise it with your software provider and stay on the ticket rather than handing you back the phone number.
Can you help with order-of-service printing, chapel music and webcasting?
We support your side of it: the design workstation, the printer and paper stock it depends on, the network in the chapel of rest, and a reliable connection for a service being streamed. Crematorium music and webcast platforms are usually the crematorium's own contract, so we make sure your files, laptop and link are ready to meet them rather than claiming to run their system.
